Manage users
The Users screen lets you invite other people to your account and manage their rights. It is reserved for members who have the Manager of users permission (or Administrator).
The Free plan is limited to 1 user: this screen mainly becomes useful with a Pro or Entreprise subscription, which lets you invite as many users as you like.
Invite a user
- In the Invite a user form, enter the person's first name, last name and email address.
- Click Invite.
- An invitation email is sent to them automatically. The invitation link also appears on the screen, with a Copy button: you can pass it on to them yourself, for example if the email does not arrive. If the automatic sending fails, a message tells you and asks you to pass on the link yourself.
- Tick their permissions on their row, in the Account members list, then click Save (see below).
The invitation link is valid for 7 days and can only be used once. The person opens it, chooses their password and activates their account. Until they have done so, they appear in the list with the Invited status.
Important: an invited person starts with no permissions at all. Until you have ticked their permissions and clicked Save, they have access to almost nothing.
On the Free plan, once the single user is in place, the form is replaced by the “Free plan limit reached” message, with an Upgrade to Pro button.
Manage a user's permissions
Each row of the Account members list offers 8 checkboxes:

Ticking Administrator automatically ticks and locks the 7 other boxes: an administrator always has all rights. Click Save, on the row of the member concerned, to apply the change. It takes effect immediately, from that person's next action.
Be careful with the Statistics permission on its own: without a QR code management permission, the Statistics screen shows no QR codes. The Dashboard summary, however, shows the figures for the whole account, including the labels of the most-scanned QR codes.
If you manage users without being an administrator
A member who has the Manager of users permission without being an administrator:
- cannot grant either “Administrator” or “Manager of users”;
- can only grant the permissions they have themselves;
- cannot manage a member who has rights they cannot grant (including Administrator and Manager of users).
The boxes concerned are locked.
The last administrator is protected
An account always keeps at least one active administrator. If you are the only one, you cannot untick Administrator on your own row, nor on another administrator's row if doing so would leave no active administrator.
Edit a user's profile
The Edit button, on a member's row, opens a form with First name, Last name and Email. Click Save to confirm, or Cancel to close without changes.
Reset a user's password
On an active member's row, the Reset password button sends them an email to choose a new password. The message “Reset email sent to ….” confirms it. Only an active member can receive this email: not a person who is still invited, nor a deactivated member.
Deactivate or reactivate a user
The Deactivate button immediately blocks the person's login, without deleting any data: the QR codes they created and their history remain intact. The Reactivate button gives them access again, with the same permissions as before. A confirmation is requested in both cases. A deactivated member appears with the Disabled status.
Two restrictions:
- you cannot deactivate your own account: the button does not appear on your row;
- you cannot deactivate the last active administrator of the account.
There is no feature to delete a user from an account: only deactivation, which is reversible, is possible. It does not reduce the number of users counted for the Free plan quota.
If your account returns to the Free plan with several users
They remain active: the number of users triggers neither a grace period nor a limitation. However, you can no longer invite anyone as long as you stay on the Free plan.
Frequently asked questions
How does an invited user get access?
Through an invitation email sent automatically. The link also appears on the screen, with a Copy button, if you prefer to pass it on yourself. The link expires after 7 days or as soon as it is first used.
Why can't the person I invited see anything?
Because an invited person has no permissions to begin with. Tick their permissions on their row, then click Save.
What happens if I untick “Administrator” for a user?
Their other permissions can be changed one by one again. Check which ones remain ticked before clicking Save. If this user is the only active administrator of the account, the operation is refused.
A user has forgotten their password: what should I do?
They can use the “Forgot your password?” link on the login page. You can also send them a reset email with the Reset password button, on their row.
Can I delete a user from my account completely?
No. You can deactivate them: their access is blocked immediately and their history is kept. This does not free up a slot in the Free plan quota.
Why can't I deactivate myself?
To avoid locking the account by mistake. If you are no longer the right contact person, ask another administrator to deactivate you, or first hand over the Administrator role to someone else.
Can I invite other users on the Free plan?
No, it is limited to 1 user. The invitation form is replaced by a message that suggests upgrading to Pro. The Pro and Entreprise plans let you invite as many users as you like.
